Google Workspace migration

Google Workspace to Microsoft 365 Migration

Move business users from Gmail to Exchange Online and, where scoped, move Google Drive content into OneDrive or SharePoint with identities, domain changes and user cutover planned together.

Google to Microsoft

A joined-up move for email, users and business files.

Google Workspace and Microsoft 365 organise some services differently. The destination needs to be designed around how people and teams will work after migration.

Gmail to Exchange Online

Supported Gmail messages, labels and mailbox data are mapped into Exchange Online using the agreed migration method.

Calendars and contacts

Supported calendar and contact information is included where the selected method allows it.

Drive to OneDrive

Individual work files can be assessed for migration into each user’s OneDrive account.

Shared files to SharePoint

Suitable shared Drive content can be planned into SharePoint libraries rather than placed under one individual account.

Microsoft 365 users and MFA

Accounts, licences and multi-factor authentication are prepared before user cutover.

Domain and DNS changes

Domain verification and mail-routing changes are planned so new mail reaches Microsoft 365.

Common scenarios

Why businesses move from Google Workspace.

Some organisations prefer the Microsoft desktop applications, Exchange and Outlook workflow, Windows integration, SharePoint collaboration or Microsoft device-management options. Others inherit Google Workspace but standardise on Microsoft as the team grows.

This is not a claim that Google Workspace is unsuitable. Both platforms can work well. The migration should be based on business requirements, licences, workflows and the destination people will actually use.

Projects often start with

  • Standardising around Outlook and Microsoft desktop applications
  • Introducing SharePoint and OneDrive for business files
  • Improving Windows identity and device integration
  • Consolidating tools under an existing Microsoft licensing approach
  • Moving after a merger, ownership change or operating-model decision

Our process

A defined route from assessment to handover.

Exact tasks vary by service, but the project remains structured and visible.

  1. 01

    Assess

Understand the current environment, users, data and constraints.

  2. 02

    Plan

Agree the target setup, responsibilities, sequence and scope.

  3. 03

    Prepare

Create and configure the destination before moving production data.

  4. 04

    Deliver

Migrate agreed Gmail, calendar, contact and Drive data, then complete the planned domain cutover.

  5. 05

    Verify

Check Exchange mail flow, migrated data, permissions, user access and the agreed Microsoft security controls.

  6. 06

    Handover

Provide clear documentation and explain the completed setup.

Scope and delivery

What is included.

Depending on scope, a Google Workspace migration can include:

  • Google Workspace source assessment
  • Microsoft 365 tenant and user preparation
  • Gmail to Exchange Online migration
  • Supported calendar and contact migration
  • Scoped Drive to OneDrive or SharePoint migration
  • Domain and MX cutover
  • MFA and licence setup
  • User guidance, validation and handover

Security and disruption

Practical risks are discussed before changes begin.

Google labels do not map perfectly to Outlook folders, and Google-native file formats may need conversion. Sharing models and permissions also differ between Drive and SharePoint. These differences are assessed before file scope is confirmed.

API permissions, source administrator access, data volume and Google or Microsoft throttling can affect timing. A staged migration and final synchronisation may be appropriate for larger or active mailboxes.

Why Next Layer IT

Technical project work without an unnecessary support contract.

Our engineers carry out the agreed technical work, explain decisions in plain English and document the handover. We keep the focus on the project rather than using it as a route into services you did not ask for.

  • Scope agreed before production changes
  • Straightforward pricing and responsibilities
  • Security considered as part of delivery
  • Verification and documented handover

Frequently asked questions

Google Workspace migration questions

Clear answers to common questions about scope, timing and delivery.

Tell us about your project
Can Gmail labels be migrated to Outlook?

Many migration methods represent labels as folders, but Gmail permits behaviours that do not map exactly to Outlook. We explain the expected result and any duplication considerations before migration.

Can Google Drive files move to SharePoint?

Yes, where the content and permissions are suitable. Shared business data should be planned into appropriate SharePoint libraries rather than copied without considering ownership and access.

Will Google Docs convert to Microsoft files?

Google-native documents may require conversion to Microsoft Office formats. Compatibility and formatting should be sampled, especially where documents use platform-specific features.

Can users keep working during the migration?

Usually, with a planned cutover and final synchronisation. Exact restrictions depend on the tools and source data, so user communications form part of the plan.

Do you remove Google Workspace afterwards?

Closure or licence reduction is only carried out when included and after the agreed verification period. Source access should not be removed until the customer accepts the migrated result.
